PROCUREMENT NOTES

Before prototype procurement: confirm the part and the supply information

A clear procurement request is more useful than a long list of shortened part names. Separate the design requirement from what a supplier is actually offering.

Define the orderable part

Record the manufacturer and complete ordering code, including suffix. Check package and grade against the manufacturer’s ordering information. The TI OPA277 datasheet, for example, includes package and orderable information; a family name alone is not a procurement specification.

Describe the required material

State quantity per part and any requirement for samples, packaging, date codes or lots. Mark restrictions that are mandatory. If quantity or build date is still undecided, say so rather than guessing.

Ask what the supply statement means

Record when availability was checked and whether it is supplier-reported or confirmed for the proposed order. Request the applicable condition, packing format, available labels and source records. A stock statement does not reserve material or establish complete traceability.

Separate timing and approval

Distinguish procurement lead time, dispatch and transit. Before ordering, resolve exceptions and record who approves them. This checklist organizes purchasing information; engineering still determines the correct part for the design.

  • Requested quantity and sample needs
  • Condition, packaging and source-document scope
  • Required date and open questions
